William Collins & Sons was founded in Glasgow in 1819, and first published bibles, atlases and dictionaries, but later grew to release works from some of history’s greatest authors, such as CS Lewis, Agatha Christie, and JRR Tolkien.

Today, HarperCollins UK publishes around 1,000 books a year. Our authors include worldwide bestsellers such as Booker Prize winner Hilary Mantel, writer of Wolf Hall and Bring Up The Bodies, George RR Martin, whose blockbusting A Song of Ice and Fire series has enraptured fans across the globe, and perennial fiction favourites Bernard Cornwell, Wilbur Smith, Patricia Cornwell and Cecelia Ahern. WHAT WERE HARPER COLLINS INTERNAL MAINTENANCE MANAGEMENT ISSUES?

HarperCollins Site Services team has grown significantly with internal changes to the maintenance team. Previously HCP had outsourced some of the specialist FM works, but have now moved most of this in-house. As a result, we had additional responsibilities, and a lot of paperwork that needed completed, so we needed a robust paperless system to manage, track and report on the works carried out across our sites in Bishopbriggs.

 

BENEFITS OF WORKPAL FOR HARPER COLLINS?

HarperCollins manage their Reactive and Planned Maintenance through mobile workflow management system, WorkPal. This streamlines much of the data entry and paperwork they had in place previously. With WorkPal, they can plan recurring services to equipment and these jobs are automatically pushed out to their engineers. With an automated schedule in place, this minimising downtime on machines and facilities which in turn generates a great return on investment. Operatives can log all works completed on specific assets, adding service history and notes to equipment to allow HCP far more visibility over maintenance costs and performance of the assets. Now we are paperless, all the service reports automatically sync to the desktop in real time, meaning it is stored centrally and securely.

 

HOW DID WORKPAL ENHANCE MAINTENANCE CAPABILITIES?

With the capability to manage all assets onsite and our operatives, we are seeing a dramatic improvement in efficiencies and productivity. Specific rules that have set by management within the WorkPal app, is driving compliance through each operative, which is important for us. We had our risk assessments digitised and are completed on every job before the work starts. As WorkPal was customised to our requirements, bespoke features added such as reporting, priority codes, and job types really assist in not only managing our current workload but in future planning to improve the department whilst saving costs.

Yes, the process from start to finish was seamless. The team at WorkPal have customised their workflow management system to our processes and we were guided through each stage of the implementation and ‘go live’. The mobile workflow management system has without a doubt improved our workflows and cut admin time considerably. We have far more visibility over the sites and are now able to concentrate on improving further.
